Vouchbook (“Vouchbook,” “we,” “us”) provides bookkeeping and financial-reconciliation software. This policy explains what information we collect, how we use and protect it, and the choices you have. By using Vouchbook you agree to the practices described here.

Information we collect

  • Account information — your name and email address, used to create and secure your account.
  • Financial account data — when you connect a bank or card account, our data provider Plaid provides account details and transaction history (dates, amounts, descriptions, balances). We access only the accounts you explicitly connect and only the data needed for bookkeeping and reconciliation.
  • Business records — bills, payments, sales, and ledger entries you create or import (including point-of-sale data you choose to connect).
  • Usage and technical data — standard log information (such as timestamps and error diagnostics) needed to operate and secure the service.

How we use your information

We use the information above only to:

  • maintain your ledger and generate financial statements and reports;
  • match bank and card activity against your books (reconciliation);
  • operate, secure, support, and improve the service;
  • comply with legal, accounting, and tax obligations.

We do not sell your personal or financial information, and we do not use it for advertising.

Consent

When you connect a financial account, Plaid’s secure connection flow asks for your explicit consent before any account data is shared with Vouchbook. You may disconnect a connected account at any time, which stops future data collection for that account.

How your data is stored and protected

  • All data in transit is encrypted using TLS.
  • Data at rest is encrypted in our managed database, and credentials such as access tokens receive additional application-layer encryption.
  • Access is restricted through role-based access controls and centrally managed authentication.
  • Backups are encrypted and stored off-site with restore capability.

Service providers we rely on

We share data only with infrastructure and service providers that help us operate Vouchbook, under agreements that require them to protect your information. These include Plaid (bank & card connectivity), Supabase (database and authentication), and Railway (application hosting). If you connect optional integrations such as your point-of-sale or accounting systems, data is exchanged with those providers at your direction.

Data retention

We retain your financial records for as long as your account is active and as needed to meet standard bookkeeping, accounting, and tax record-keeping obligations. You may request deletion of your data as described below; some records may be retained where required by law.

Your choices and rights

You may request access to, correction of, or deletion of your personal information, and you may disconnect any linked financial account at any time. To make a request, contact us using the details below.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
